Our AGM 2020 will be held online via Zoom, open to all members of the Society, at 3pm (UK-time, UTC+1), on Saturday 18th April 2020.

About the meeting

The meeting is required under the Tolkien Society’s Constitution, under the law of England and Wales as regulated by the Charity Commission. The Annual General Meeting (AGM) is the main business meeting of the Society where members have the opportunity to discuss the organisation and business of the Society. The meeting has several main purposes:

  • To review the previous year’s accounts;
  • To ask questions of the trustees and appointed officers based on their reports;
  • To consider any constitutional amendments;
  • To set the membership fee; and
  • To elect the trustees for the following year.

Proposed constitutional amendment

There was one Constitutional Amendment for the 2020 AGM, received on Saturday 22nd February 2020, it is worded as follows:

An amendment to the Constitution of The Tolkien Society to change the quoracy requirement for meetings of the Executive Committee.

In section 11(3) for “two thirds” substitute “one half”.

Proposed by Shaun Gunner, Annie Haward, Daniel Helen, & Niamh Riordain.

The current Constitution reads:
There shall be a quorum when at least two thirds of the number of members of the Executive Committee for the time being or four members of the Executive Committee, whichever is the greater, are present at a meeting.

The amended Constitution as proposed will read:
There shall be a quorum when at least one half of the number of members of the Executive Committee for the time being or four members of the Executive Committee, whichever is the greater, are present at a meeting.

Nominations for elected positions

The deadline for these was also Saturday 22nd February 2020. The following nominations were received by the Secretary:

As there is only one nomination for each position, there will be no ballot at the AGM and each nominee is duly elected.

Previous bookings

The AGM was previously booked for the Mercure Exeter Rougemont Hotel, however in light of the Covid-19 epidemic, we are moved our booking to April 2021 for our 2021 Springmoot and AGM.

If you had booked a meal for the Annual Dinner, you will receive a refund. If you haven’t received a refund, please contact our bookings officer.
